In brief
A practical safety framework for tax-firm phone intake: narrow data collection, no tax advice, human escalation, bilingual script testing, and separate-number pilots.
Boundary 1
Give the assistant a narrow operational job
Molmoro’s job is managed bilingual phone intake for small tax firms. It can capture who called, how to call back, the caller’s language, why they called, and when they prefer a response.
- Routine appointment requests
- Callback requests
- English or Spanish language preference
- Firm-approved office information
- Structured next-action tasks
Boundary 2
Do not allow tax advice
A phone-intake assistant should not decide or interpret deductions, credits, filing status, refunds, IRS notices, or any other tax position. These calls should create a task for a qualified human.
Boundary 3
Minimize the data collected by phone
The intake flow should never request SSNs, ITINs, bank information, passwords, card numbers, tax documents, or sensitive financial details.
Safe callback context
- Name
- Callback number
- Language preference
- Brief reason for calling
- Preferred callback time
Boundary 4
Escalate uncertainty, not just known tax topics
Approved scripts cannot predict every caller. If the request is unclear, contradictory, emotionally sensitive, or outside the configured categories, the workflow should stop and create a human-review task.
Boundary 5
Test English and Spanish flows independently
Equivalent service requires more than translating a greeting. Test names, number confirmation, callback times, office terminology, language switching, and tax-sensitive refusals in both languages.
- Routine appointment request
- After-hours callback request
- Attempt to share sensitive data
- Tax-advice question
- Uncertain or off-script request
Boundary 6
Start on a separate number
A 7–14 day after-hours or overflow pilot creates a controlled evaluation window. The firm can review task quality and adjust the workflow without changing its main number.
Molmoro does not replace a tax preparer, CPA, or receptionist. The pilot should be judged on whether routine intake becomes clearer and whether sensitive requests reach the right human.
